We are hiring a Program Assistant for our Retired & Senior Volunteer Program (RSVP) at our Independence office. We work with hundreds of volunteers ages 55 and older at 40 volunteer sites in a five-county area. We also coordinate signature projects including Birthday Boxes, Weekend Food 4 Kids, and Volunteer Caregivers. Thrift Store in Independence, WI. Job duties include:
Volunteer Recruitment & Retention
Assist director in planning and implementing recruitment initiatives
Follow-up on referrals of potential RSVP volunteers
Contact inactive volunteers to determine status and future placement opportunities
Maintain communications with volunteers and partnering organizations
Assist with planning and conducting annual volunteer recognition events
Site Development & Retention
Assist with preparation and distribution of community needs assessments, surveys, and respond to information requests
Assist sites in volunteer position description and outcome development
Provide general support to volunteer sites
Promotes a sense of teamwork, good morale, and service to our volunteers and sites
Program Support
Prepare, distribute, and follow-up with RSVP correspondence through letter, phone, and email
Assist with distributing and collecting performance measurement data
Assist with preparation and production of brochures and quarterly newsletters
Prepare, distribute, and collect performance measurement data
Work with stations to collect data such as hour logs and other information
Provide clerical services and office support including data entry
Assist with coordination of RSVP projects (Caregivers, Birthday Box, and Weekend Food 4 Kids) including inventory of supplies
Be familiar with all general RSVP program functions and AmeriCorp Seniors National Service program rules and regulations
Register new volunteers into Volunteer Reporter software and send out welcome packets
Provide follow up to volunteers and volunteer sites and potential volunteers
Maintain communications with volunteers and sites
Track hour logs, performance measurement requirements, etc.
Prepare, distribute, and follow-up with RSVP correspondence
Create purchase orders and general inventory of program supplies
Other duties as assigned
Qualifications
Be able to maintain a high level of confidentiality
Be punctual and maintain a neat appearance
Must have excellent time management skills
Be proficient in Microsoft Office products (Word and Excel)
Be familiar with Microsoft Publisher (or willing to learn) for RSVP newsletter production
Must be able to communicate effectively with others both orally and in writing
Have excellent multi-tasking ability
Have excellent listening skills
Be accurate and detail oriented
Have good organizational skills
Have a strong sense of customer service
The ability to work with diverse populations
Be knowledgeable of interests, abilities, needs and concerns of individuals 55 and older
Excellent problem-solving skills
Education and/or Experience
This position requires a high school diploma or GED. An associate degree in administrative assistant, business administration, communications/marketing, or related field preferred or 2-4 years of experience working with the general public.
The starting salary is $12.69 per hour. We offer a complete benefit package, including:
